1. Who we are

FieldVouch ("we", "us", "our") is a field survey documentation platform operated as a sole trader business based in England and Wales. For privacy inquiries, contact us at info@fieldvouch.com.

2. What data we collect

We collect data you provide directly:

  • Account data: name, email address, company name, role
  • Survey data: photos, GPS coordinates, checklist responses, assessor notes
  • Payment data: processed by Stripe — we do not store card details
  • Usage data: login timestamps, feature usage, error logs

Photos you upload include GPS metadata embedded at capture time. This is core to the service and cannot be disabled.

3. How we use your data

  • To provide the FieldVouch platform and its features
  • To process survey submissions and generate reports
  • To send transactional emails (account verification, password reset, notifications)
  • To improve the platform and fix bugs
  • To process payments via Stripe

We do not sell your data to third parties. We do not use your survey photos or data to train AI models without your explicit consent.

4. Data retention

We retain your data for as long as your account is active. Survey submissions and photos are kept for the duration of your subscription plus 12 months after cancellation.

You can request deletion of your account and associated data at any time by emailing info@fieldvouch.com.

5. Data sharing

We share data only with:

  • AWS / Cloudflare R2: photo and file storage
  • Stripe: payment processing
  • Anthropic: AI photo validation (only photo content, no personal data)
  • Firebase: push notifications (device tokens only)

All processors are GDPR-compliant and operate under data processing agreements.

6. Your rights

Under UK GDPR you have the right to:

  • Access a copy of your personal data
  • Correct inaccurate data
  • Request deletion ("right to be forgotten")
  • Object to processing
  • Data portability

7. Cookies

We use a single authentication cookie (vf_token) to keep you signed in. See our Cookie Policy for details.

8. Mobile app permissions

The FieldVouch mobile app requests the following device permissions:

  • Camera: to photograph survey evidence
  • Location: to embed GPS coordinates on photos
  • Storage / Media library: to save photos locally before upload
  • Motion sensors: to display tilt and bearing overlays on photos
  • Push notifications: to alert you about job updates and submission reviews

None of these permissions are used for advertising or sold to third parties.

9. Legal basis for processing

Under UK GDPR, we process your data on the following legal bases:

  • Contract: processing necessary to provide the service you have signed up for (account management, survey storage, report generation)
  • Legitimate interests: improving the platform, preventing fraud, error logging
  • Legal obligation: retaining transaction records as required by law
  • Consent: push notifications (you can withdraw consent at any time in device settings)

10. International data transfers

Some of our third-party processors are based outside the UK, including in the United States (Anthropic, AWS, Stripe). Where data is transferred internationally, we ensure appropriate safeguards are in place, including Standard Contractual Clauses approved by the UK ICO.

11. Security

We take reasonable technical and organisational measures to protect your data, including:

  • Encrypted data in transit (HTTPS/TLS)
  • Encrypted storage for files and photos
  • Access controls — only authorised users within your company can access your data
  • JWT authentication with short-lived tokens

No method of transmission over the internet is 100% secure. In the event of a data breach affecting your rights, we will notify you as required by law.

12. Children

FieldVouch is a professional B2B platform intended for use by adults aged 18 and over. We do not knowingly collect personal data from anyone under the age of 13. If you believe a child has provided us with personal data, please contact us at info@fieldvouch.com and we will delete it promptly.
